Private Event Catering
Terms & Conditions
Please read these Terms & Conditions before making a booking with Renato's Italian Street Food. They are designed to make sure that all arrangements, costs and responsibilities are clear before your event is confirmed.
Before You Book
These terms explain how our private event catering bookings work, including quotations, deposits, guest numbers, dietary requirements, cancellations, venue access and event-day arrangements.
Enquiries & Event Information
When making an enquiry, please provide your preferred event date, event location, type of event, approximate number of guests, approximate number of adults and children, preferred service style, and any known dietary or accessibility requirements relevant to our service. An enquiry or quotation does not reserve your date.
Site Visit
Where we will be preparing, setting up or serving food at the venue, a site visit may be required before the booking is finalised. The visit allows us to check available space, vehicle and equipment access, parking, electricity supply, water availability, ground conditions, a suitable position for our gazebo or food service area, and any practical or safety requirements.
If suitable facilities are not available, we will discuss possible alternatives before confirming the booking.
Service Options
Depending on the event and location, we can provide our complete 3m x 3m Italian street-food gazebo setup, food service without the full gazebo setup where suitable, or a small Italian-style buffet or food display for suitable private events. The exact service and setup will be agreed in writing before the booking is confirmed.
Menu
The menu will be agreed with you before the event. Our food may include homemade arancini, lasagna, Italian loaded fries, panzerotti, tiramisu and other Italian street-food dishes depending on the selected menu and event requirements.
Vegetarian and vegan options can be discussed when planning your menu. Any menu changes requested after confirmation are subject to availability and may affect the final price.
Allergies & Dietary Requirements
Please inform us in writing of any allergies, intolerances or dietary requirements affecting your guests. Final allergen and dietary information should normally be provided no later than 14 days before the event.
We will provide allergen information about our dishes and will discuss what we can reasonably and safely provide. Customers are responsible for providing accurate information regarding their guests' known allergies and dietary requirements.
We handle multiple ingredients in our preparation and service environment. Where complete avoidance of cross-contact cannot reasonably be guaranteed, we will make this clear before accepting a specific dietary request.
What We Provide
Unless otherwise agreed in writing, our service includes the food and the food-service equipment required for the agreed menu. Our normal street-food service uses suitable disposable street-food/takeaway containers and serving items.
For an agreed buffet-style service, we may provide our own presentation boards, wooden serving trays or similar display equipment. Any equipment belonging to us remains our property and must not be removed from the event.
What We Do Not Normally Provide
Unless specifically included in your written quotation, we do not provide guest tables, guest chairs, event furniture, traditional crockery or glassware, venue decoration, or alcoholic beverages. Any additional services must be agreed before the event and may involve an additional charge.
Alcohol
We do not sell or supply alcoholic beverages as part of our standard private-event catering service. Where customers or venues provide alcohol, responsibility for its supply, service and any required licences or permissions remains with the customer, venue or relevant alcohol provider.
Quotations
Unless otherwise stated, quotations are valid for 14 days from the date they are issued. Receiving a quotation does not reserve the event date.
Prices are based on the information provided at the time of quotation, including guest numbers, menu, location, service requirements and setup. Significant changes may require a revised quotation.
Booking & Deposit
A booking is confirmed only when the final quotation has been accepted, these Terms & Conditions have been accepted, any required booking agreement has been completed, and the required 50% booking deposit has been received.
Until these steps have been completed, the requested date may remain available to other customers. The deposit forms part of the total agreed event price.
Final Payment
Unless otherwise agreed in writing, the remaining 50% balance must be paid no later than 7 days before the event. If payment is not received by the agreed deadline, we reserve the right to contact you to resolve the outstanding payment and, where appropriate, suspend or cancel the booking in accordance with these Terms.
Final Guest Numbers
Final guest numbers, including the number of adults and children where relevant, should be confirmed no later than 14 days before the event. We will prepare and purchase food according to the final agreed numbers.
Requests to increase guest numbers after this deadline will be accommodated where reasonably possible and will be subject to availability and additional charges.
Reductions after the final confirmation deadline may not result in a reduction of the agreed price where food, preparation, equipment or other costs have already been committed.
Changes to the Event
Please tell us as soon as possible about any proposed change to guest numbers, menu, event time, location, service style, access, setup or dietary requirements.
We will make reasonable efforts to accommodate changes, but they cannot be guaranteed. Changes that increase our food, preparation, travel, equipment or operating costs may result in an additional charge, which will be agreed with you before proceeding.
Customer Cancellation
All cancellations must be made in writing. If you cancel your event, any amount retained or cancellation charge applied will reflect the circumstances of the cancellation and the reasonable losses and costs we have incurred as a result, including food or ingredients already purchased, preparation undertaken, event-specific costs and loss associated with reserving the date where applicable.
We will take reasonable steps to reduce avoidable losses. Where possible, we will explain any cancellation charge and how it has been calculated. This does not affect your statutory rights.
Weather & Outdoor Events
For outdoor events, suitable and safe conditions must be available for our staff, equipment and food-service operation. Rain, strong winds, storms, extreme temperatures, unsafe ground conditions or other severe weather may make it unsafe or impractical to operate the agreed setup. Safety will always take priority.
Where possible, we will work with you to identify a reasonable alternative, such as a safer position or alternative service arrangement.
If an event is cancelled or cannot proceed because of circumstances outside our reasonable control, any payment or refund will be considered taking into account work already completed, reasonable costs already incurred and any services that can no longer be provided.
Electricity, Water & Venue Facilities
Where electricity, water, parking, vehicle access or other venue facilities are required for the agreed service, these requirements will be discussed before confirmation.
Where the customer or venue has agreed to provide these facilities, they must be available, accessible and suitable for the agreed setup on the day. Please tell us in advance if anything changes.
Access & Setup
The customer is responsible for ensuring that we have reasonable access to the agreed service area at the agreed arrival time. Any access restrictions, stairs, long carrying distances, parking restrictions, venue rules or specific loading/unloading arrangements should be disclosed before the booking is confirmed.
Unexpected restrictions that materially change the agreed service may result in additional costs or changes to the setup.
Food Service & Timing
Food will be prepared and served according to the agreed event schedule. Customers should ensure that guests are available during the agreed service period.
Where delays outside our control substantially extend the agreed service time, additional charges may apply if additional service can be accommodated. Any such charge will be discussed with the customer.
Circumstances Beyond Our Reasonable Control
We will make every reasonable effort to provide the agreed service. However, events outside our reasonable control may occasionally prevent or materially affect performance, including severe weather, venue closure, major transport disruption, failure of essential utilities, emergency restrictions or other exceptional circumstances.
If this happens, we will contact you as soon as reasonably possible and work with you to find a reasonable solution.
Our Responsibility
We will provide our catering service with reasonable care and skill and in accordance with applicable food-safety requirements. Nothing in these Terms & Conditions excludes or limits liability where it would be unlawful to do so.
Nothing in these Terms & Conditions affects your statutory rights under UK consumer law.
Final Agreement
The final quotation or booking agreement will confirm the main details of your event, including date, location, agreed guest numbers, menu, service style, setup, price, payment schedule and any special arrangements.
If there is a specific arrangement agreed for your event that differs from these standard Terms & Conditions, it should be recorded in writing as part of your quotation or booking agreement.
Acceptance
By confirming your booking and paying the required booking deposit, you confirm that you have read and accepted these Terms & Conditions and the details contained in your agreed quotation or booking agreement.
